On the night, nobody should have to ask who calls the next cue. This run of show gives producers and stage managers one document: the running order with times and owners, the cue table, shared AV terms, the contacts list and the budget, so the crew works from the same plan.
The sample is a benefit gala at Alder Hall Theater for Foxhollow Studio: doors 18:00, curtain up 19:00, a 120-minute programme with a 10% time buffer and a 10% cost reserve. Replace the timings, owners, cues, contacts and budget lines with your own, and write three contingencies for your riskiest moments.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Set the event name, date, venue and show-call time at the top, then replace the running order rows with your real timings.
Give every cue one owner and one backup, and replace the glossary with the terms your crew actually uses.
Update the budget lines, add mobile numbers for venue, AV, security and first aid, and write your contingencies.
Delete the guide page at the end, then share the run of show with your crew or print it for the control desk.
Yes. Keep the running order, cue table and contacts, change the cues to polls, slides and Q&A, and delete the catering and security lines from the budget.
A stage manager should never have to read a time twice. 24-hour times avoid a.m. and p.m. mistakes, but you can switch them to 12-hour format if your crew prefers.
No. Foxhollow Studio, the venue, the people named and every figure and email address are fictional sample data, there to show what a finished run of show looks like.
