An awards evening only runs to plan if the stage manager, the AV crew and the presenters work from one document. This template keeps the running order in one place. Each line has a start time, a duration, a named owner, a cue and an AV note, so an overrun shows up in the plan before it reaches the stage. It then adds the presenter call sheet, the music cue table, a RACI for the crew and a contingency page for late speakers and power cuts.
The sample shows a regional awards evening for the fictional Umberfield Collective on 12 March 2027 at the Tallow Street Rooms in Leeds: 14 awards in 120 minutes, doors at 18:00 and curtain at 19:00. Every name, phone number, venue and figure is made up. Replace them with your own, then rehearse with the real music files before you lock the plan.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Set the event name, date, venue and show-call time on page one.
Replace the running order rows with your real timings and owners.
Add mobile numbers for venue, AV, security and first aid to page three.
Delete the guide page, then share the plan with the crew or present it.

Yes. Add rows to the running order table and keep one owner per row. Duplicate an existing row rather than typing over the sample, so the formatting stays the same.
No. Umberfield Collective, its people, phone numbers, venue and figures are fictional, so replace every one of them before you use the plan.
