Clients approve events they can picture and a budget they can trust. This proposal opens with the concept and the audience, sets out the format and compares venues with a recommendation, then shows costs against income, the contingency and the timeline, including the dates by which the client has to decide.
The sample is Quillon Brands pitching a one-day customer forum for 280 guests on 16 September 2027, with an £80.1k budget that breaks even at 70% capacity. Replace the objective, survey results, venues, quotes and dates with your own, and add the decision dates your client must meet.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Rewrite the purpose in terms of what your client wants, such as signups or funds raised, then replace the concept images and mood board with references that fit the budget.
Fill the budget table with your own quotes, show income against costs, and present two or three venue options with a clear recommendation.
Add the dates by which the client must approve for the timeline to hold, and update the key-dates calendar to match.
Delete the guide page, then share the proposal with your client or present it.
Two or three. One option gives the client nothing to compare; more than three slows the decision. Show hire cost, capacity and access for each, and say which you recommend and why.
The sample holds 10% of costs as contingency and shows it separately, so the client sees the total with and without it. Staffing, insurance and licences should sit in the base costs.
No. Quillon Brands, Tidewell Group, the venues, all people and every figure are fictional sample data. Replace them with your own client's details before you share the proposal.
