Overview

Sponsors read the first page and little else, so status reports that bury the decision on page three fail them. This template leads with an overall RAG status and findings, then the decisions needed, a workstream scorecard, milestones with gates, a budget variance table with a one-line cause per material line, and a risk register with owners.

The sample follows Quillon Engineering's controls upgrade at a water treatment works in February 2027: 52% complete, schedule amber after a two-week panel delay, a £2.3M budget with a £2.35M forecast and seven open risks. Replace the project details, write your RAG rules into the key, and keep only the risks you would discuss at steering group.

Useful for

  • A project manager sending the monthly report to the sponsor and steering group before the meeting
  • A PMO comparing budget burn, milestone dates and open risks across several projects
  • A delivery lead reporting progress to a client, with the decisions and help needed from them

What's included

  • Summary page with headline figures, four key findings and a recommendation
  • Decisions-needed page with owners and due dates for the actions that follow
  • Workstream scorecard with targets, trends, RAG status and comments
  • Milestone timeline with the current milestone marked and what happens at each gate
  • Budget variance table with budget, forecast, actual and a cause for each material line
  • Risk register, likelihood and impact heat map, and a guide page for replacing the sample

How to use it

  1. 1

Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.

  2. 2

Set the reporting period, project name and sponsor, then write your PMO's RAG thresholds into the key and set this period's status.

  3. 3

Replace the milestone dates and budget figures with your baseline and current forecast, and say what caused each material variance.

  4. 4

Keep only the risks you would discuss at steering group, give each an owner and a date, and limit actions to three to five.

  5. 5

Delete the guide page at the end, then share the report with your sponsor and steering group.

Questions

What should the RAG status be based on?

Write the rules down. A common set is amber for a milestone slipping 1 to 3 weeks or a forecast 5 to 10% over budget, and red beyond that. Without written rules, green hides slippage.

What if no decision is needed this month?

Delete the decisions box and say so in one line, such as 'No decisions needed this period'. Sponsors trust a short report that is clear about what it is not asking for.

Are the company and figures real?

No. Quillon Engineering, its people, email addresses and every figure are fictional sample data. Replace them with your own project details before you send the report.
