Overview

When a depot floods or the network goes down, people need an order of play, not a list of risks. This business continuity plan template gives operations and risk leads a calm, directive document: scope and assumptions, a business impact analysis, recovery priorities with RTO and RPO, activation and communications, crisis roles with a RACI, and a testing schedule.

The sample follows Kettleby Services, a 142-person field services firm. It ranks 12 critical activities by maximum tolerable downtime, restores systems in a fixed order within 4 hours for core and 24 hours for secondary, and names who calls whom within 30 minutes. Replace the activities, downtime limits, team members and phone numbers first, then rewrite the scenarios for the disruptions you can actually imagine.

Useful for

  • A risk lead preparing the first continuity plan for a growing services business
  • An operations manager agreeing downtime limits and recovery order with function heads
  • An IT lead evidencing RTO and RPO and a tabletop exercise to auditors and insurers

What's included

  • Cover page with version, review date and the crisis team as the audience
  • Scope page comparing what is in and out, with assumptions defined and exclusions called out
  • Business impact analysis with revenue at risk, downtime limits and the activities that hurt first
  • Recovery order as a timeline, plus a table of recovery objectives for each system
  • Activation communications table by audience, channel and owner, with a monthly calendar
  • Crisis team cards, a RACI for key decisions and a testing checklist with owners and dates

How to use it

  1. 1

Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.

  2. 2

Replace Kettleby Services with your organisation and list your own critical activities with a maximum tolerable downtime agreed with each function head.

  3. 3

Swap the crisis team for named people with deputies and personal phone numbers, then print the contact page and store a copy off-site.

  4. 4

Set recovery objectives per system with IT, prove them with a test restore, and rewrite the scenarios for disruptions you can realistically expect.

  5. 5

Delete the Make it yours page, book a tabletop exercise within 90 days, then share the plan with the crisis team.

Questions

Is this a disaster recovery plan template as well?

It covers the recovery side: system-by-system RTO and RPO, restore order and test evidence. Add technical runbooks for each system as a separate appendix.

Are the organisation, people and figures real?

No. Kettleby Services, the people, phone numbers and every figure are fictional sample data. Replace them with your own details before you rely on the plan.

How often should the plan be tested?

The sample tests twice a year with a 90-minute tabletop exercise using three injects, and reviews the plan after every real incident. Record lessons and actions each time.
