Trustee minutes have to be accurate, neutral and quick to produce. This board minutes template gives charity secretaries a fixed order: attendance and quorum, apologies and the previous minutes, declarations of interest, standing safeguarding and finance reports, decisions with recorded votes, and an action log with owners and dates.
The sample is a quarterly meeting of Yarrowfield Engineering, a charity that trains young people in engineering. Eight of nine trustees attended, five decisions were carried and six actions were assigned. Replace the date, names, reports, votes and actions with your own, and keep the minutes marked draft until the next meeting approves them.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Fill in the date, venue, chair and minute taker, list who was present and who sent apologies, and record whether quorum was met.
Reduce each agenda item to two or three lines, then move every resolution into the decisions list with its vote.
Give every action one owner and a due date, add the date of the next meeting and mark the minutes draft until approved.
Delete the Make it yours guide page, then share the minutes with your trustees.
Yes. Make a copy in Google Docs and adapt it for your charity or board. You only need a Google account to use it.
No. Yarrowfield Engineering, its trustees, the staff and every figure are fictional and exist only to show what good minutes look like.
Not usually. Record the decision, the vote and the action, and name a person only when the record requires it, such as a declared interest.
