Overview

AGM minutes are the record members and auditors rely on, yet they often become a long transcript with no clear votes or owners. This template keeps attendance, quorum, reports, elections, resolutions, decisions and actions in a fixed order.

The sample records a fictional meeting of Lowmoor Works, with 58 of 214 members present, a quorum of 22, seven votes with for, against and abstain tallies, and four actions due within four weeks. Replace the names, figures and dates, and mark the minutes draft until approved.

Useful for

  • A club secretary writing up the annual meeting within a week while memories are fresh
  • A treasurer recording approval of the accounts and a dues increase with the exact tally
  • A board chair checking that every resolution has a result and every action has an owner

What's included

  • Title block with date, time, place and minute taker, plus income, attendance, reserves and quorum figures
  • Present and apologies, declarations of interest and approval of the previous minutes
  • Reports page with a table of time, vote and outcome, and a results scorecard against budget
  • Elections page with the elected officers, their vote tallies and a RACI grid for running the ballot
  • Resolutions timeline and tally table, then decisions and actions with owners and due dates
  • Decision page comparing three dues options, plus a Make it yours guide page

Questions

Are the people and figures in this sample real?

No. Lowmoor Works, its board, members, accounts and votes are fictional and exist only to show how a finished set of AGM minutes reads.

How should votes be recorded?

Write the tally as for, against and abstain, for example 41-15-2, and check that it adds up to the number of members voting. Note the majority the rules require.

When should the minutes go out?

Within a week, marked as draft. Members then remember what was agreed, and the board can approve them at its next meeting.
