Overview

Grant applications are rejected when they tell the organisation's story and never answer the funder's criteria, or when budget lines do not add to the request. This template runs from a cover letter and summary through need, project, outcomes, evaluation, budget, sustainability and organisation, so every funder question has a page.

The sample is a £192,000 request from Bramblewood Services to a fictional foundation for a 24-month reading programme, with a £240,000 total cost, 20% match funding and £375 per pupil that agree on every page. Replace the need data, outcomes, budget lines and organisation details with your own, then delete the guide page.

Useful for

  • A charity applying to a trust or foundation for a multi-year programme grant of £50,000 to £450,000
  • A school or community group turning funder guidelines into a clear need, plan and budget
  • A letter of inquiry or full application that needs outcomes, indicators and a sustainability plan

What's included

  • A cover page and a formal cover letter on letterhead with references, subject and enclosures
  • A one-page summary with the ask, match funding, beneficiaries and four key points
  • A statement of need with local data, a pull quote and the evidence from a pilot
  • A work plan checklist with owners and dates, plus outcome and evaluation scorecards
  • A budget table with total, request and share by line, a half-yearly chart and a match funding callout
  • Sustainability clauses, an organisation chart with headcount and a Make it yours page

How to use it

  1. 1

Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.

  2. 2

Read the funder's guidelines and use their criteria as your section headings, then replace the need statement with local data and cite the source and year.

  3. 3

Rebuild the budget line by line with quantity times rate, and check that the request, the match and the total agree with the cover letter and the summary.

  4. 4

Rewrite the outcomes as three to five measurable results with a baseline, a target and a method, then ask someone outside your organisation to read the summary.

  5. 5

Delete the Make it yours page, then share the proposal as a PDF or upload it to the funder's portal.

Questions

Can I use this for a letter of inquiry as well?

Yes. Use the cover letter and the summary page alone for a letter of inquiry, then keep the remaining pages for the full application if you are invited to submit.

Are the organisation and figures real?

No. Bramblewood Services, the Aldermere Foundation, the people, schools and every figure are fictional and exist only to show a well-built proposal.

How do I match the funder's word limit?

Keep the sample's length as a guide, shorten each section to the funder's limit and copy their criteria as headings so panel members can score each one.
