When a task is described in paragraphs, steps get skipped under pressure and nobody can say what the right way was. This standard operating procedure template fixes that: a control block with owner and review date, scope in and out, a RACI of responsibilities, numbered steps with a check, a record form and a revision history.
The sample is a Hollybrook Works kitchen SOP for cooling and storing cooked food: below 8°C within 90 minutes, then stored at 0 to 5°C. Replace the control block first, rewrite each step by watching the task once, swap the limits for your regulator's thresholds, and have two people who have not done the task follow it before signing.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Fill the document ID, version, owner and effective date in the control block at the top, then rewrite each numbered step by watching the task being done once, with one action per line.
Replace the sample limits in the checks and record form with the thresholds from your regulator or manufacturer.
Have two people who have not done the task follow it, fix what trips them, then collect signatures and add the version to the revision history.
Delete the guide page, then share the SOP with your team or print it for the work area.
One action per step, under 25 words, starting with a verb. Where something can go wrong, add a measurable check so the operator knows the step worked.
At least every 12 months, or sooner if equipment, limits or the menu change. Put the next review date and the owner in the control block.
No. Hollybrook Works, the people, the email addresses, the phone numbers and every figure in the sample are fictional. Replace them with your own details before use.
