Refunds go wrong when each agent has a private method. Some pay without approval, some miss the duplicate check, and nobody can say later why a customer was paid. This procedure sets out the one right way: who is eligible, who may approve each amount, the steps in order, the systems used and the messages sent to customers.
The sample is for Brindlewick Manufacturing, a maker of kitchen equipment, and covers the 30-day purchase window, approval bands up to $250 and above, a duplicate check and the message templates. Every name, amount, system and figure is fictional. Replace the limits and steps with your own after watching the task done, and have two new starters test it before you publish.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Fill in the document ID, version, owner and effective date in the control block at the top.
Replace the sample limits with the approval bands and amounts your business has agreed.
Rewrite each step by watching the task once, with one action per line and one check per step.
Delete the guide page, then have two new starters follow the steps before you share it.
Yes. Brindlewick Manufacturing, its staff, the systems, the amounts and every figure in this procedure are fictional. Replace them with your own details and approved limits before anyone follows the steps.
Keep the steps short: six to fifteen numbered steps, each under 25 words. Put background and reasons in a separate section, so the person doing the task can read the steps quickly under time pressure.
Review it every twelve months, and whenever a system, limit or regulation changes. Record each change in the revision history with what changed and why, not only the date.
