Overview

When the owner is the only one who knows how the business runs, every day off becomes a risk. This manual captures that know-how in eight pages: a cover, the opening routine, weekly jobs with owners, suppliers and lead times, customers, money handling, an emergency escalation path and a guide for adapting it. Procedures are short and numbered, and each says who does what and by when.

The sample follows Kingfisher Row Works, a fictional neighborhood coffee roastery and café with nine staff, a $250 till float with a $5 variance tolerance, eight suppliers' lead times and a four-level escalation path. Replace the overview and contacts, convert your top ten recurring tasks into the numbered layout, fill in your real banking rules, and print the emergency page separately.

Questions

How long should an operations manual be?

As long as it takes to be searchable and current. Short numbered procedures, a contents page and an owner for each section beat a 200-page document nobody opens.

How do I keep the manual up to date?

Give every section an owner and a review month, and set a trigger to update it whenever a system, supplier or price changes. Put those reviews in the calendar.

Are the company, people and figures real?

No. Kingfisher Row Works, its people, phone numbers, email addresses and every figure are fictional sample content. Replace them with your own details before use.
