Overview

A business that only works when the owner is present cannot grow or take a holiday. This manual writes down how the business actually runs: the standards, the organisation, the core routines and escalation steps, the cash policy and the systems that hold the records. Each page has one job and can be read on its own.

The sample is the manual of Havenbrook Group, a fictional group of three cafes, a central kitchen and a bakery with 38 staff. It shows a numbered opening routine, a fridge-failure flow, a cash policy with a £5 tolerance and a systems map. Replace the company, chart and contacts with your own, and set an owner and a review month for each section.

Useful for

  • A café or restaurant owner who wants a new manager to run a site properly after one week.
  • A growing retailer or franchisee that needs every site to open, serve and cash up to the same standard.
  • A business preparing for an audit that checks procedures against stated standards.

What's included

  • Cover and an opening page with owner, version, review date, four headline figures and three standards
  • Organisation chart of eleven people, headcount figures and a table of functions with vacancies
  • Core process page: a four-step opening routine and a three-step fridge-failure flow
  • A numbered cash-handling policy with definitions, rules and responsibilities
  • Systems map in five layers, plus the route a sale takes from the till to the accounts
  • A make-it-yours guide with five steps for replacing the sample content

How to use it

  1. 1

Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.

  2. 2

Replace the company overview, organisation chart and headcount with your own, and delete sections for functions you do not have.

  3. 3

Convert your most common routines into the step layout, written with the person who does them, and add the real float and cash-up rules.

  4. 4

Update the systems map, record an owner and a review month for each section, and put the review dates in the calendar.

  5. 5

Delete the guide page, then share the manual with your team.

Questions

Is the content real?

No. Havenbrook Group, its people and every figure are fictional sample content. Replace them with your own details before you share the manual.

Is it only for cafes and restaurants?

No. The sample uses a cafe group, but the structure suits any business with sites, shifts, cash and suppliers, including shops, clinics and franchises.

How often should the manual be reviewed?

At least twice a year, and whenever a system or supplier changes. The sample is reviewed every March and September by its owner, and staff report anything that no longer matches.
