Finance committees approve event budgets when they can see where the money goes, what comes back and how much turnout it takes to cover the cost. This event budget template is built around that decision: a one-page summary, costs against last year, income by source, a contingency and variance page, and a break-even statement, with a scenario page that shows what happens when fewer people come.
The sample is a two-day investor forum run by Birchfield Capital with a total ask of £180,000, 400 seats and break-even at 78% of capacity. Replace the event, the cost lines, the ticket price and the sponsor income with your own, then rewrite the scenarios for your venue. All amounts are in pounds sterling.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Enter your event, date, total ask and capacity on the summary page, then replace the cost lines with your own.
Update ticket price, delegate numbers and sponsor income, then check that break-even still follows from your total cost.
Rewrite the scenario table for your own turnout and say which costs you would cut first.
Delete the Make it yours guide page, then share the proposal with your finance committee or present it.
Yes. Make a copy in Google Docs and adapt it for any conference, dinner or launch event. You only need a Google account.
No. Birchfield Capital, its people, the venue and every figure are fictional and exist only to show what a good event budget looks like.
Total cost minus income that does not depend on turnout, divided by the ticket price. Here that is (£180k - £56k) / £400, or 310 delegates.
