A capital request is easy to refuse when it says only that a building needs money. This department budget request template ties each line to evidence of condition, a phased plan, a cost table and what happens at lower funding. It is written for a sceptical finance reader, so each item is justified in a sentence and the trade-offs are shown before anyone asks for them.
The sample is for Tallowfield Group, a fictional property owner whose estates team asks for $2.4M in 2027. It shows roof, heating and lift assets past their rated life, a phased plan from April to December, and three funding levels at 100, 90 and 80 percent. Replace the assets, costs, dates and owners with your own survey results, mark each one-off item, and rewrite the reduced-funding rows for the outcomes you would actually lose.
Click Make a copy in Google Slides, then confirm on the Google page. The copy is saved to your own Google Drive.
Replace the cover figures and the condition chart with your survey data.
Replace the cost lines with your cost codes, last year's actuals and this year's plan.
Mark each one-off item and remove it from the recurring base.
Delete the guide slide, then share the deck or present it in full screen.
No. Tallowfield Group, its people, the condition survey, costs and dates are fictional sample data. Replace them with your own before you submit the request to finance.
Show the full ask first, then the 90 and 80 percent options with what each one would stop. Finance trusts a request that offers savings before it is asked for.
Tie it to a condition finding, a regulation or a risk with a likelihood and an impact. If a line cannot be linked to any of these, question whether it belongs in the capital budget.
