An AGM fails when the reports overrun and the votes are squeezed out. This agenda gives every item a start time, an owner and a verb such as note, elect or decide, and keeps the resolutions well before any other business.
The sample is a 120-minute members' meeting for a fictional association, Eastlake Works, with 312 members, a 20% quorum, four resolutions and 15 minutes of AOB. Replace the dates, names and figures, then check that your item times still add up to the meeting length.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Replace the date, time, venue, chair and the four headline figures with your own, and set your quorum from your constitution.
Rewrite each agenda item with your owner, minutes and outcome, and check that the minutes add up to the meeting length.
Swap in your resolutions, the majority each needs and the date papers must be read by, then update the notice details.
Delete the guide page, then share the document with members or present it at the meeting.
No. Eastlake Works, its committee, members, accounts and resolutions are fictional and exist only to show how a finished AGM agenda reads.
Most clubs need 90 to 120 minutes. Give each item a time, leave 15 minutes for AOB, and make sure the times add up exactly to the meeting length.
Check your constitution first. Many require the minutes, reports, accounts and elections in a set order, but resolutions and AOB can usually move earlier.
