Overview

Projects rarely fail on tasks; they fail on people who were not heard. This template helps a project manager list everyone who can approve, block, fund, use or be affected, score their power and interest, record where they stand today and where you need them, and plan engagement with an owner and a date for each action.

The sample follows Flintmere Partners as it replaces its tenant portal, with 16 stakeholders in six groups and five of them in the high-power, high-interest quadrant. It includes a RACI matrix, a support rating for four key names, three engagement actions and a candid note on the one resistant head of department. Replace the names, scores and concerns with your own and mark the document restricted.

Useful for

  • Planning engagement at the start of a programme, so effort goes to the names that matter most
  • A workshop where the project team places each stakeholder on a power and interest grid
  • A monthly sponsor review of who has moved from resistant to supportive and why

What's included

  • Stakeholder list with roles, contact details and a short note on each person's position
  • RACI matrix showing who is responsible, accountable, consulted or informed for five key activities
  • Power and interest page that explains each quadrant, with a pull quote and a review rule
  • Interests page with current support, main concern and what would move each person, plus a support scale
  • Engagement plan with three action cards, an owner and a date for each
  • Listening feature page and a make-it-yours guide page with numbered steps

  3. 3

Record current and wanted support for each name and the single concern most likely to move them.

  4. 4

Name an owner and a date for each engagement action, mark the document restricted and set a monthly review.

  5. 5

Delete the guide page, then share the document only with the project leads.

Questions

How should I score power?

By real influence over the outcome, not by job title. A team lead whose staff can stop adoption by not using a system may hold more power than a director who does not use it.

Who should be able to read the finished analysis?

Only the project leads and sponsor. It holds candid judgements about people, so mark it restricted and write it so the person described could read it without embarrassment.

Are Flintmere Partners and its people real?

No. The organisation, the people, the project and every figure in the sample are fictional. They are there to show what a finished stakeholder analysis looks like.
