Overview

This free Google Docs template maps an order-to-cash process as it runs today, from the moment an order arrives to the moment cash is received. It records the scope, the steps and their owners, the work breakdown, the exceptions and the controls, so the process can be audited or redesigned. Every section uses verbs and system names, which keeps the map honest about what actually happens.

The sample describes Candlemas Manufacturing, a fictional manufacturer, and shows how a cycle time of 4.6 days fell after an automation project. Its names, figures and systems are invented. Replace the steps, owners and measures with your own, and record measures for four weeks before you change anything, so the improvement can be shown.

Questions

Should the map show the ideal process?

No. Map what happens today, including the workarounds, because that is what controls and measures have to cover. Show the target state separately, once the current one is agreed.

Are Candlemas Manufacturing and the figures real?

No. Candlemas Manufacturing, its people, systems, cycle times and receivables are fictional sample data. Replace them with your own figures before the map is shared or audited.

How often should the process map be reviewed?

At least once a year, and after any system change or control failure. Date each version, name the reviewer and keep the previous map so changes can be traced.
