Overview

Owners and leadership teams need to know where the business stands at month end and what to do before the next close. This template answers that in order: an executive summary, a profit and loss page with charts, a balance sheet with prior-period columns, a variance table with a cause under each line that breaches your threshold, a KPI scorecard and written commentary.

The sample is the September 2026 pack for Candlemas Partners, a fictional marketing agency: revenue 3.8% under budget, EBITDA $60K short, cash up $52K and debtor days at 48 against a target of 45. Replace the period, the headline figures, the trial balance totals and the materiality threshold first, then write commentary only for the lines that breach it.

Useful for

  • A monthly pack for owners or the board covering profit, cash, balance sheet and variances
  • A lender or investor update that shows covenant cover, debtor days and cash against budget
  • A finance manager's close report that explains each variance over $5K or 5% in plain English

What's included

  • Executive summary with headline revenue, margin and debtor days, four key points and an action box
  • Profit and loss page with a five-year trend chart, a cost mix donut and a key figures table
  • Balance sheet for three dates with subtotals and net assets that reconcile
  • Variance table showing budget, forecast and actual with a flagged cause for each material line
  • KPI scorecard with targets, trends and red-amber-green status, plus a commentary page and outlook
  • Make it yours guide with five steps for replacing the sample figures

How to use it

  1. 1

Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.

  2. 2

Set the period end and replace the headline figures with your own revenue, gross margin, EBITDA, cash and debtor days.

  3. 3

Paste your trial balance totals into the profit and loss, balance sheet and variance tables, keeping the budget and prior-period columns, and check that subtotals still add up.

  4. 4

Set your materiality threshold and write a cause only for lines that breach it, then update the KPI scorecard and the commentary.

  5. 5

Delete the Make it yours page, then share the pack or export it as a PDF.

Questions

What materiality threshold should I use?

The sample uses 5% or $5K, whichever is hit first. Pick a threshold that fits your size, then explain only the lines that breach it so the commentary stays short.

Does the balance sheet need to match the cash flow?

Yes. The sample shows profit turning into cash through debtors, creditors, loan repayments and tax, so an owner does not mistake profit for money in the bank.

Is the Candlemas Partners content real?

No. The company, the people and every figure are fictional sample content. Replace them with your own trial balance and names before you share the pack.
