This free Google Docs template gives an employer a clear offer letter for an internship. It opens with a short welcome, then sets out the position, pay, conditions, probation and the deadline for accepting. Each term is written in plain language, so the candidate can check every figure before replying, and HR can match each one to the approved offer.
The sample is an offer from Larkspur Care, a fictional care organisation, to a fictional candidate for a summer placement starting June 14, 2027. Replace the candidate's details, the pay, hours and conditions with your own, and have your employment adviser confirm the wording against local rules before you send it.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Fill in the candidate's name, role, manager, location and start date at the top of the letter.
Replace the stipend, hours, leave and benefits with the figures in the approved offer.
List only the conditions you need, and have your employment adviser check the wording.
Delete the guide page, then send the letter to the candidate or present it from the first page.
Usually yes for a paid placement, but classification rules vary. Check with your employment adviser, because a freelancer's letter should not imply employee status.
No. Larkspur Care, Hannah Brooks, Jordan Ellis and every pay figure in this letter are fictional sample data. Replace them with your own details before you use the template.
Five to ten working days is typical. State the deadline and how to accept, such as signing and returning the letter by email, so the offer does not stay open indefinitely.
