Leadership away days often end in good conversation and no decisions, because the purpose was vague and the timings were never tested. This seven-page Google Docs plan sets out the purpose and pre-work, the run sheet, the decisions to record, the follow-up actions and a work breakdown of outputs. A facilitator can run it from the page, minute by minute, and a sponsor can check whether it will produce what they need.
The sample is a fictional Fallowfield Digital one-day session on 18 March 2027 for a nine-person leadership team, with three priorities, a £1.8M budget envelope and six sessions with two breaks. Replace the purpose, people, run sheet and decisions with your own, then keep the owners and dates that come out of the room.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Write the purpose as a decision or output you want by the end of the day.
Replace the run sheet times and check they fit the room booking, including breaks.
Adapt each exercise to your topic and set the timer and group size.
Delete the guide page, then circulate the outputs within two working days or present them at the next meeting.
Six to sixteen works best for decisions. Invite people who own a budget or a delivery risk, and leave out anyone who only needs the outputs, who can read the write-up instead.
No. Fallowfield Digital, its leaders, the venue and every figure in this plan are fictional sample data. Replace them with your own details before you use the plan for a real session.
Keep ten minutes unplanned in the run sheet and cut the exercise, not the decision slot. A dot vote takes five minutes, so protect it, and move any open item to its owner with a date.
