Resigning well protects references and working relationships, but many people struggle to write the letter. This template covers the parts a manager and HR need: the notice and the last working day, the handover you will complete, and the terms on pay and leave. The second half holds the thanks and the contact details for after you leave.
The sample is from Megan Ortiz, a senior accounts analyst at Dunlinn Logistics, who gives four weeks' notice to her finance manager. It names specific achievements and a handover plan, and offers one address for questions. Every name, date and figure is fictional. Replace them with your contract details, check the notice period first, and keep the thanks specific and brief.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Insert the date, your manager's name and the company, then state your resignation in one sentence.
Confirm the last working day against your contract, and replace the handover with specific tasks.
Write one sentence of thanks that names a person or an experience, and keep grievances out of it.
Delete the guide page, then send the letter to your manager and HR and keep a copy for your records.
Yes. Dunlinn Logistics, Megan Ortiz, Rhys Calloway, the figures and the contact address in this sample are fictional. Replace them with your own details before you send the letter to anyone.
Yes. Put your resignation in writing so there is a dated record. Many contracts require written notice, and a letter also shows clearly when your notice starts and when it ends.
Talk to your manager and HR early. Some employers agree an earlier release date or a leave plan, but do not assume it until it is confirmed in writing.
