Overview

Reviewers approve a budget when every line has a unit, a rate, a quantity and a reason they can check against a quote or a policy. This template is organised the way funders read: the total request and key points first, then personnel, fringe, travel, equipment, supplies and indirect costs, each with its basis, and a final table with match funding.

The sample is a 24-month request of £242,000 from Northfold Partners, with £80,000 of match funding, indirect costs held at the funder's 10% cap and a month-six variance check. Copy your funder's cost headings into the tables, replace each line with your own quantities, rates and quote references, and check the total against the application form.

Useful for

  • A charity applying to a trust or foundation that asks for a narrative behind every budget line
  • A research or community project showing a funder how fringe and indirect rates were calculated
  • A capital or equipment grant that must show three quotes and the basis for each price

What's included

  • Executive summary with the total request, match share, participants and four key points
  • Personnel page with the core team and steering group, and the fringe policy page with the 26% rate
  • Travel calendar and an equipment page explaining the three-quote basis
  • Supplies page with a priced table, definitions and a note on how costs scale with enrolment
  • Budget summary table with request, match and share, plus a stacked chart by half-year
  • Variance table comparing budget, forecast and actual spend at month six

  4. 4

Enter your real fringe and indirect rates, list match funding with its source and status, and check the total request equals the application form.

Questions

Which indirect cost rate should I use?

Use the rate your funder allows. The sample uses a 10% cap, and 15% de minimis is another common rate. Always show the policy or agreement that supports the rate you claim.

How should I show in-kind match funding?

Give each in-kind item a value basis, such as a rate card or a quote, and say whether it is secured, applied for or pledged. Funders may disregard in-kind support without a stated basis.

Are the organisation and figures real?

No. Northfold Partners, every person named and all the figures are fictional sample content. Replace them with your own details and check every total before you submit.
