Overview

Releases to enterprise systems fail when a step depends on one person's memory, or when the rollback decision is argued during an incident. This template sets out the release across five planned pages: readiness, data, training, cutover and hypercare, followed by a guide page. Every line is a yes or no item with an owner and a due date, and the rollback trigger is a number, so the release manager can tell from the page whether to go on.

The sample shows Umberfield Systems moving a customer and order platform in a single cutover window on 16 March 2027, with a 22:00 deploy and a staged rollout at 1%, 10%, 50% and 100% of traffic. Replace the release scope, owners, guard metrics and commands with your own, and delete any item that does not apply to your stack. The organisation, people and figures are fictional sample data.

Useful for

  • A release manager running a cutover with two deployers and an SRE
  • A product owner deciding go or no-go from the readiness page
  • A support team planning 72 hours of hypercare after a major deploy

What's included

  • Readiness: scope, CI and pre-deploy checks with owners and dates
  • Data: migration volumes, record sources and database reversal checks
  • Training: a workshop agenda and preparation checklist
  • Cutover: stage gates with entry criteria and a gate checklist
  • Hypercare: key dates, a calendar and a week-by-week Gantt schedule
  • Make it yours: numbered steps for replacing the sample content

How to use it

  1. 1

Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.

  2. 2

Set the release version, date, deployer and approver on page 1, then delete the checklist items that do not apply to your stack.

  3. 3

Replace the guard metrics and rollback thresholds with your service SLOs, and add the exact deploy and rollback commands on the cutover page.

  4. 4

Name the hypercare owner and its length on the hypercare page, then take each item through the gates in order.

  5. 5

Delete the guide page, then share the copy with approvers or present it at the go or no-go meeting.

Questions

Is this a free Google Docs template?

Yes. Make a copy in Google Docs and it is saved to your own Google Drive, where you can edit every page and remove the sample content before you use it.

Are the organisation, people and figures fictional?

Yes. Umberfield Systems, its people, the email addresses and every figure are fictional sample data, written to show what a finished go-live checklist looks like.

Can I use it for a stack other than databases and web services?

Yes. Delete the items that do not apply, such as database checks for a stateless service, and add the manual steps unique to your release, with an owner for each one.
