Many specifications describe a design in loose prose, so developers guess and testers argue about what was meant. This template puts the need in numbered, testable statements. It begins with a summary of the numbers that matter, then covers screens, the fields behind them, business rules in plain sentences, and the errors users will meet.
The sample is a functional specification from Jasperfield Partners for a tenant repairs portal: 62 numbered requirements, 55% marked must, 28 fields, nine business rules and fourteen error messages, with a target of 2-second page loads for 500 concurrent users. Replace the system, requirements, rules and owners with your own.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Write the purpose in two sentences, name the business owner and replace the sample numbers on the first page with your own.
Replace the sample screens, fields and rules with your own requirements, each in one must or should sentence with an acceptance measure.
Rate each error by likelihood and impact, give it an owner, and keep must items at no more than 60% of the list.
Delete the guide page, collect sign-off from the business owner and delivery lead, then share the specification.
Between 30 and 120 is common. The sample has 62, with about 55% marked must, 27% should and 18% could, so there is room to trade items if time or money runs short.
It uses must or should, states one thing, and carries a measure such as under 2 seconds, within 15 minutes or at least 3 slots. Words like fast or friendly cannot be tested.
No. Jasperfield Partners, its tenant repairs portal, its people and every figure are fictional sample data. Replace them with your own before you use the document.
