A warning letter is read later by an appeal panel or tribunal, so it has to show the facts, the evidence and the rights in plain terms. This seven-page Google Docs template follows the order a fair process needs: the issue, the hearing outcome, the expectations, the duration and the appeal route. Each page carries one part of the record, so an HR adviser can check the letter against policy and local law before it is sent.
The sample is a fictional Willowmere Group letter to a production operator at the Line 3 site, following a hearing on 4 March 2027. It shows four allegations with ratings, six-month expectations with a scorecard, a warning period and an appeal route. Replace every name, date and finding with your own, and have your HR adviser check the wording against your policy and the law before the letter is issued.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Enter the employee details, the letter date and the private and confidential marking.
Write each allegation as a numbered factual statement with its date.
Insert the appeal and accompaniment wording agreed with your employment adviser.
Delete the guide page, then share the letter with HR, or present it at the hearing.
No. It sets out a fair structure, but the wording, timescales and any dismissal decision depend on local law and your contracts. Have your employment adviser check every letter before it is issued.
No. Willowmere Group, the employee, the managers, the dates, the reference and every finding in this letter are fictional sample data. Replace them with your own records before you use the template.
Your policy sets the period, and six months is common for a written warning. Record the review date in the letter, remove the warning when it expires, and keep the file accurate.
