Payment Receipt

This free Google Docs template gives a charity a donation receipt that proves a gift was received for a specific purpose. It records the payee, the donor, the amount, the date, the payment method and the reference, with the Gift Aid wording where it applies. A numbered record also supports the charity's books and any later audit.
The sample is a £520 receipt from Umberfield Partners, a fictional charity, to a fictional donor, with allocation figures and contacts invented. Replace the amounts, names and reference numbers with your own, check the amount against the bank statement, and keep the tax wording exactly as your adviser approves it.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Enter the donor's name and address, and the date the gift arrived.
Check the amount, date and reference against the bank statement before issue.
Keep the Gift Aid wording exactly as your adviser approves it, and number each receipt.
Delete the guide page, then email the receipt to the donor or present it from the first page.
Issue one whenever a donor asks for it, and always for gifts that carry Gift Aid. A numbered record protects the charity and helps the donor claim any tax relief they are due.
No. Umberfield Partners, the donor, the team, amounts, reference numbers and contact details are fictional sample data. Replace them with your own before you issue any receipt.
No. The receipt can state that a gift was made under Gift Aid. Whether the donor can claim relief depends on their own tax position, so say that the donor should check with HMRC or an adviser.
