Credit control fails quietly when limits are set without checks, chasing has no set timeline and the people who may write a debt off are unclear. This template records one bad-debt write-off from start to finish: the customer and its credit history, the debt and its age, the recovery steps taken, the reason it cannot be collected, and the approval. Each page follows the one before it, so the approver can check the trail in order.
The sample shows Ashgrove Wholesale, a fictional customer with an £8,400 invoice that was part paid and then left open, and a request to write off £5,400 after a failed plan. It also carries the policy figures: the chase calendar, the write-off bands and the provision rates. To use it, replace the names, balances and dates with your own case, and set the approval limits and provision percentages from your finance policy.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Replace the sample customer, balances and dates with your own case on each page.
Set your approval bands and provision percentages, then check that the approver is never the person who raised the sale.
Delete the guide page, then share the document with approvers or present it from Google Docs.
No. Oakhaven Advisory, Ashgrove Wholesale, the people and every figure are fictional sample data. Replace them with your own case before you use the document.
The approver must not be the person who raised the sale. Under the sample bands a finance manager approves up to £2,000, a finance director up to £10,000, and the board anything above that.
Yes. Delete the approval and agreement pages if you only need the request and the recovery record, and keep the policy figures on the debt page.
