Software Development Proposal

Clients rarely reject a software proposal because of the technology. They reject it when the price looks arbitrary, the scope is vague or nobody can say who does what. This template sets the proposal out in the order a sponsor reads it: the goals, the services, the timeline, the responsibilities and the fees, with the assumptions behind them.
The sample is a proposal from Marlowe Green Labs to Fernhill Logistics for onboarding a booking and dispatch module across five depots, in eleven weeks, for a fixed fee of $142,000 with a 20% contingency. Every name, depot, figure and date is fictional. Replace the understanding, scope, team and fees with your own, and check each assumption with the client first.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Rewrite the goals and the understanding page using what the client told you in discovery.
Replace the services and timeline with your own deliverables, dates and acceptance tests.
Rebuild the fee table with your rates, a 20% contingency and the assumptions behind the price.
Delete the guide page, then send the proposal to the client sponsor with the decision date.
Yes. Marlowe Green Labs, Fernhill Logistics, Ines Duarte, the depots, fees and dates are all fictional. Replace them with your own client details and rates before you send a proposal to a real buyer.
Yes. A fixed fee depends on data quality, the number of depots and the client's availability for reviews. Write those assumptions down, so a change in any of them has an agreed route to a new price.
Any change to scope is described in writing, priced, and approved by the client sponsor before work starts. Keep a running change log in the shared project file, so additions never turn into disputes.
