Event clients often assume everything is included, and agencies find out at the invoice. This scope statement fixes the objectives and dates, what the fee covers, what it does not, who decides on guest numbers, who signs and which clauses govern changes.
The sample follows Sandpiper Partners planning a one-day members' conference for 240 guests on 14 October 2027 for a fee of £58,400. Replace the client, date, guest numbers, inclusions, exclusions, tasks and clauses with your own, then collect the signatures.
Click Make a copy in Google Docs, then confirm on the Google page. The copy is saved to your own Google Drive.
Rewrite each inclusion with a quantity, format and owner, and list every exclusion a client has asked about before.
Enter your guest numbers, deadlines, revision rounds and review windows in working days, then update the RACI table.
Replace the parties, fee and clauses with your own terms, and name the people who will sign.
Delete the guide page, then share the statement for signature or present it at the scoping meeting.
Yes. It is a free Google Docs template. Make a copy to your own Google Drive and edit any page, table or clause to suit your event and your client.
Name each excluded item and say who is responsible instead, as with hotel room blocks sitting with the client. Anything unlisted is handled through a change request.
No. Sandpiper Partners, Calder Valley Co-op, the people, the fee and every figure are fictional sample content. Replace them with your own before sending.
