Donation tracker templates

A donation tracker records every gift, pledge and donor contact, so a charity or group can thank people, report on income and plan its appeals. A fundraising tracker follows progress toward a target for each campaign.

Include donor name and contact details, date and amount given, gift type and campaign, thank-you sent, pledges and reminders, and total raised against target. Thank each donor within a few days, since a prompt thank you makes a repeat gift much more likely.

Send a personal thank you within a few days, mention the gift and what it will do, and avoid a generic letter. Record the date it was sent in the tracker.

Record each gift against its campaign, then divide the total raised by the target to get a percentage. Share the update with the team regularly so any shortfall can be acted on.
